The Client
Transworks Information Services Ltd, a part of the Aditya Birla
Group, is a leading provider of world-class CRM/BPO services from
India. Through a combination of experienced people, latest technology,
domain expertise, and rigorous quality processes, Transworks help
its clients improve operations quality and efficiency, while lowering
costs by offshore outsourcing.
The Challenge
Being one of the largest BPO companies in India, Transworks identified
a need for an end-to-end solution to handle their manpower transportation.
The company was using a manual system for allocating
cabs to its 2700 agents, working 24/7. Everything from approximate
employee location, to cab allocation, to route planning and billing
was performed manually. Apart from being cumbersome and time-consuming,
the system depended on the knowledge of a few individuals who understood
the process, and the city’s geography.
Multiple transportation vendors were involved in
providing this facility to the agents. The requirement was approximately
130 cabs, with each cab doing a minimum of 2 trips, though not uniformly.
An aggregate of 20,000 km was run daily, for the complete pickup-and-drop
process. The system was unstructured and unmonitored as well, thanks
to hectic schedules. A cohesive, technical, and knowledgeable approach
was needed to bring efficiency to this process.
After a thorough market study and analysis, Transworks
found Pro-TMS to be the most comprehensive solution. Proficio’s
offering was gauged on technology, pricing, competency level, and
support.
The Solution
PRO-TMS was implemented with the key objective of replacing the
extant manual processes by providing a centralized system that could
integrate the separate, but related processes of shift scheduling
(rosters), routing, vehicle allocation and vendor management.
After six months of intense support and customization,
PRO-TMS was able to deliver the desired results, making Transworks
one of the first few companies in Bangalore to implement a software
solution to completely handle manpower transportation in the BPO
industry.
By successfully integrating the necessary elements,
PRO-TMS made it effortless to access all relevant data for reporting
purposes. It also improved the quality and amount of data that could
be shared automatically with vendors, HR and employees.
